Know the functions of each area of the Association

With the aim of providing increasingly clear, organized, and efficient attention, we want to share with the community the main functions of the areas that make up the operation of the Association of Colonists of Puerto Aventuras.

Knowing which topics correspond to each department allows us to properly channel requests and reports, expedite their attention, and work more coordinated for the benefit of Puerto Aventuras.

Security

The Security Department primarily works on the prevention, surveillance, and attention to situations related to security within the community.

Among its main functions are:

  • Control and supervision of access.
  • Surveillance and patrolling in streets and common areas.
  • Monitoring of security cameras.
  • Attention and first response to incidents and emergencies.
  • Prevention of risks and situations that may affect security.
  • Supervision of compliance with internal circulation and road safety regulations.
  • Support in compliance with internal regulations.
  • Surveillance of facilities and common areas.
  • Registration, documentation, and follow-up of incidents.
  • Coordination with the relevant authorities when a situation requires their intervention.

Community Services

This area serves as one of the main links between the Association and the residents, providing attention, information, and follow-up to their needs.

Its main functions include:

  • Attention and guidance to residents.
  • Reception and follow-up of requests, questions, reports, and comments.
  • Communication with the community through official channels.
  • Preparation and dissemination of announcements, notices, campaigns, and information of interest.
  • Management and follow-up of procedures and services, such as access cards and registrations.
  • Channeling reports to the corresponding areas and following up on their attention.
  • Relationship and communication with owners and residents.
  • Coordination and dissemination of community services and programs, such as recycling and environmental campaigns.
  • Updating records, databases, and documentation related to services.
  • Support in projects, activities, and actions directed at the community.
  • Identification of recurring needs and proposals to improve attention and services.

Administration

The Administration area is responsible for supporting the proper administrative and financial functioning of the Association, as well as maintaining control and follow-up of its resources and obligations.

Among its main functions are:

  • Administration and control of the Association's resources.
  • Follow-up on fees and account statements.
  • Billing, payments, and administrative processes.
  • Attention to administrative matters related to owners and associates.
  • Coordination with suppliers and administrative follow-up of services and contracts.
  • Preparation and safeguarding of administrative documentation.
  • Support in the preparation of financial and administrative information for the Board of Directors and the corresponding bodies.

Infrastructure and Maintenance

This area is responsible for the conservation and care of different public spaces and infrastructure within the Association's area of responsibility.

According to the functions established by the Infrastructure and Maintenance Management, its main responsibilities are:

  • Gardening of public areas.
  • Cleaning of public areas.
  • Lighting in public areas.
  • Maintenance of roadways.
  • Special projects and works of the Association.
  • Guidance to residents on issues related to infrastructure and maintenance.

There are also services and situations that require the participation of organizations, authorities, or specialized committees. For example, issues related to electricity supply correspond to CFE; matters related to wildlife should be channeled to the Wildlife Committee; the sargassum barrier and beach cleaning have their corresponding coordination; and emergencies requiring the intervention of Civil Protection should be directed to emergency services.

Communication with the different areas of the Association is open to the entire community.

This channel allows us to direct each request to the corresponding department, maintain a record, and facilitate its follow-up until the appropriate attention is received.

We work in a coordinated manner

Although each department has specific responsibilities, the different areas of the Association work in a coordinated manner when a situation requires the participation of more than one team.

Having clarity about the functions of each area and using the established channels helps us better channel each request, provide more efficient responses, and give appropriate follow-up to the needs of our community.

We continue to work to improve our processes, strengthen communication, and provide a better service to Puerto Aventuras every day.
